Privacy policy

This page explains what our enquiry and careers forms collect, who handles your details, and how to get a copy or have them removed.

The short version

The details you submit through our forms are emailed to our team. There is no database behind this site, no account to create, no cookie that follows you, and nothing is sold or handed to advertisers. That is the whole arrangement, and the rest of this page is the detail behind it.

Who we are

Port City Heavy Diesel Maintenance, ABN 55 967 578 153, based in Gladstone and Rockhampton, Queensland. You can reach us on 0409 797 817 or at portcityheavydm@hotmail.com. Use either one for anything on this page.

We are a small business. Under the Privacy Act 1988 a lot of small businesses are not bound by the Australian Privacy Principles. We have written this policy as though we are, because the reason to have one is the person reading it rather than the turnover threshold.

What the enquiry form asks for

The enquiry form on the get in touch page has eight fields. Four of them have to be filled in before it will send, and the rest help us turn up with the right parts.

  • Your name. Required, so we know who we are talking to.
  • Your phone number. Required. We answer enquiries with a phone call.
  • Your email address. Required, and it is where a written reply goes.
  • What the job is. Required. A line or two about the work.
  • Your company. Optional.
  • The kind of enquiry. A breakdown, planned work, shutdown labour, labour hire, or something else.
  • The machine. Optional. Make and model, if you know it.
  • Where it is. Optional. The site or the town.

We do not ask for a date of birth, a home address, a licence number, a payment detail, or anything about your health. Please do not include these details in a message or CV.

Careers applications and saved drafts

Our careers form asks for your name, email, phone, town or region, role of interest, experience and qualifications, and permission to contact you. Availability and a PDF CV are optional. Your CV is sent as an email attachment to our team.

Written enquiry and application details are saved in your browser tab so you can recover them after a reload or failed send. This draft is removed after a successful submission or when the tab is closed. A CV is not saved in the draft; select it again if you reload the page. Unsaved files and drafts are not uploaded until you submit the form.

What we do with it

We read it and we contact you by phone or email. It is used to answer your enquiry, quote the work and do the job. Careers applications are used to assess your experience and discuss suitable work with you. We do not add you to a mailing list, because there is no mailing list. We do not use it to advertise to you anywhere else.

If your enquiry turns into a job, the details move into the ordinary paperwork any contractor keeps: quotes, invoices and job records. Those are held for as long as Australian tax and business record rules require.

Who else handles it on the way

Three companies handle form submissions between your browser and our inbox. None of them are given it to use for themselves.

  • Vercel hosts the website and runs the code that takes the form. Their servers keep short lived request logs, which include the internet address your browser connected from.
  • Resend delivers the email. A copy of the message sits in their system for a period after sending, the way it does with any email provider.
  • Microsoft runs the mailbox the enquiry or careers application arrives in.

Vercel and Resend are United States companies, and the mailbox is a Microsoft one. So an enquiry you send is handled outside Australia. We are telling you because you cannot see it from the page, not because there is anything unusual about it.

What is not here

There is no database behind this site. Submitted details and CVs are passed to our email provider without being saved to a website database. A form draft is kept only in your browser tab as described above. That is a deliberate decision about how this site was built, and it is the reason this policy is as short as it is.

There are no tracking cookies, no advertising pixels, and no analytics that identify you. If that changes, this page changes first, and you will be asked before anything is set.

How long we keep it

Enquiries and careers applications, including CVs, stay in our mailbox. You can contact us to request removal of an application. If an enquiry did not turn into a job and you ask us to delete it, we will. If it did turn into a job, the job records stay for as long as the tax and business record rules say, and we cannot delete those any earlier than that.

Getting a copy, fixing it, or having it removed

Please call 0409 797 817 or email portcityheavydm@hotmail.com and tell us what you want done. You can ask for a copy of what we hold about you, ask us to correct something that is wrong, or ask us to delete an enquiry or application. We do not charge for any of that.

We will get back to you within 30 days. If we cannot do what you asked, we will tell you why rather than going quiet.

If you are not happy with the answer

Tell us first, because most of it is fixable in a phone call. If that does not sort it out, you can take a privacy complaint to the Office of the Australian Information Commissioner at oaic.gov.au.

If something we hold is exposed

If a breach could cause you serious harm, we will tell you and we will tell the Information Commissioner. We will not wait to be asked, and we will not call it a technical issue when it was a breach.

Changes to this page

If we change how any of this works, we change this page and move the date below. There is no archive of old versions, so if the date has moved and it matters to you, please contact us to ask what changed.
